Account and access
Is Pomanager free to start?
Yes. The free tier gives you purchase orders and quotations with a monthly cap, and no card is required to sign up. You can upgrade when you need more volume or the paid modules. Create an account and see the current limits on the pricing page.
I can't log in, or I forgot my password
Use the password reset link on the login page and follow the email we send to your registered address. If the email doesn't arrive within a few minutes, check spam and confirm you're using the address the account was opened with.
If you're an employee and login is refused outside certain hours or away from the office network, your employer has enabled an access restriction. Ask your account owner to adjust it.
How do I add my staff to the account?
The account owner adds users from the user management page, sets which company or branch each person can see, and assigns page-level permissions. Give each person their own login rather than sharing one — shared logins break the audit trail and are a security risk.
Can I run more than one company?
Yes. You can create multiple companies under one login and switch between them, and you can set up a mother company with branches so items copy down and inventory consolidates upward. A paid subscription covers the companies owned by that user, subject to plan limits.
Documents and the B2B network
How do I connect with a supplier or customer?
Search for the business inside Pomanager and send a connection request, or simply transact with them if they're already on the platform. Once connected, a purchase order you send lands directly in their system as an incoming order — neither side re-types anything.
If they're not on Pomanager yet, invite them. You can still record documents for them in the meantime; they just won't flow automatically.
I sent a document to the wrong company — can I recall it?
No. Once a document is transmitted, the receiving company holds their own copy in their workspace and controls it. Deleting your copy doesn't delete theirs. Cancel the document on your side, then contact the counterparty directly and ask them to disregard it.
Check the counterparty before sending. This is the single most common support ticket we see.
What does a connected company actually see?
Only the documents you send them, and what's on those documents — items, quantities, prices on that document, delivery address, instructions, and the contact named on it. They do not see your catalogue, your cost prices, your margins, your other customers, your inventory, or any document you didn't send them.
My supplier calls the same item something different
Map their code to yours once, and every future document translates automatically in both directions. You'll find item linking on the item record or when you first receive a document containing an unmatched item.
Money, tax and regions
Can I work in my own currency?
Yes — set your company's currency and number format in company settings, and documents render in it. Subscription charges are billed in the currency shown at checkout, which may differ from your operating currency; your bank may add a conversion fee.
Does Pomanager handle my country's tax rules?
You can configure tax rates and show them on documents. Pomanager is not a tax or accounting service, and it does not certify your invoices for any country's e-invoicing or statutory filing regime. Check with your accountant that the output meets your local requirements before you rely on it.
Payroll tax rules are configurable per country, with Philippine statutory computations built in.
Times and dates look wrong for my region
Set your time zone in your user profile. Timestamps then display in your local time rather than the platform default. If a colleague in another country sees a different time on the same record, that's expected — the underlying record is identical.
How do I pay, and where are my invoices?
International subscriptions are processed by Paddle as merchant of record, which handles card payment and any applicable VAT or sales tax; PayPal and, in the Philippines, PayMongo are also available. Your subscription invoices come from the payment provider by email and are also available in your billing area.

How do I cancel, and what happens to my data?
Cancel any time from your account. You keep access until the end of the period you already paid for, then the account drops to the free tier or closes. Export anything you need first — after termination, data is retrievable for 30 days and then deleted. See the retention schedule.
AI features
How accurate is the AI, and should I trust it?
Treat every AI result as a draft. Parsing an emailed order, reading a photo, or transcribing a spoken order gets you most of the way, but the output can be wrong — especially on unusual item names, handwriting, and unclear quantities. Review before you approve, and you stay responsible for what you send.
Where does my data go when I use an AI feature?
The specific content you submit for that request — the email, document, image, or transcript — is sent to our AI provider for processing and returned as a result. Our agreements prohibit providers from training their general models on your content. Detail is in the Privacy Policy.
Troubleshooting
A page is blank, stuck, or showing an error
- Hard refresh the page (
Ctrl+Shift+R, orCmd+Shift+Ron Mac) — this clears a stale cached script, which is the usual cause after an update. - Try a private window to rule out a browser extension.
- If you're on the installed app, close it fully and reopen.
- Still broken? Send us the page URL, what you clicked, and a screenshot including any error text.
The site won't load at all from my office
Try mobile data on your phone. If it loads there but not on your office connection, your network address is being blocked or your employer has restricted access to a specific network. Send us the address shown at any "what is my IP" site and we'll check it from our side.
A total or price is showing as zero
Check that the item has a selling price set on its record — a blank price carries through to the document as zero. If the price is set correctly and the document still totals zero, send us the document number and we'll investigate rather than you re-keying it.
I'm not receiving emails from Pomanager
Check spam and any corporate quarantine, then add pomanager.net and mail.pomanager.net to your allow list. If your IT team filters aggressively, ask them to permit our sending domain. Tell us the address and the message you expected and we'll check the delivery log.
No matches. Try a different word, or email us and we'll answer directly.
