How to create a purchase order in Pomanager
- Sign up and add your companyFree, with no card. Your company details appear on every PO.
- Add suppliers and itemsEnter them one at a time, or import a spreadsheet of suppliers and items using the bulk import templates.
- Create the POGo to Supplier → Supplier PO → New PO, pick the supplier and add items. Prices fill in from your item list, and the last price you paid is shown next to each line.
- Send itSave and send. If the supplier uses Pomanager, the PO appears in their account; if not, export the PDF and email it.

What every purchase order should include
A purchase order is the buyer's written commitment to buy specific goods at agreed prices. Once the supplier accepts it, it is the reference both sides check deliveries and invoices against, so missing details cause disputes later.
- PO number and date, unique and sequential.
- Buyer and supplier details: company names, addresses and contact people.
- Delivery address and required delivery date.
- Each item: description or item code, quantity, unit (piece, box, dozen, ream) and unit price.
- Totals: line totals, discounts, taxes and the grand total.
- Payment terms, such as cash on delivery or 30 days.
- Authorization: who approved the order.

When your supplier uses Pomanager too
Most purchase order software stops at producing a document that you email. Pomanager is built around the connection between two businesses. When a buyer and a supplier connect on Pomanager, the purchase order is one shared record that both companies see.
- Your PO becomes their order. The supplier does not retype it into their own system.
- Their invoice arrives in your account for you to confirm, matched to the original PO.
- Payments are recorded once and confirmed by both companies, so neither side chases the other about whether a payment has been made.
- Price changes flow through. When a connected supplier updates a price, your linked item and pricelist update too.

Frequently asked questions
Is Pomanager really free for purchase orders?
Yes. Creating, sending and tracking purchase orders is free with no limit on the number of POs, for one company. There is no trial period and no credit card required. Inventory, sales invoicing, payroll and AI document conversion are on the paid Starter plan (USD 50 per month).
Is there a limit on how many purchase orders I can create?
No. The free plan covers unlimited purchase orders and unlimited quotations for one company. The main limit of the free plan is the number of companies: running several businesses from one account is part of the Pro plan.
Does my supplier need a Pomanager account?
No. You can export any purchase order as a PDF and send it the way you do today. If your supplier joins (also free), you both work from the same PO record, so they see it in their own account and you see when it is viewed and accepted.
Can I create purchase orders in other currencies?
Multi-currency purchase orders, for importers buying in USD, EUR, CNY and other currencies, are part of the Pro plan, together with import PO handling and a shipping cost calculator.
Do I need to install anything?
No. Pomanager runs in a web browser on a computer or a phone. You sign up, add your suppliers and items, and can send your first purchase order the same day.
Can I move my existing supplier and item lists across?
Yes. Suppliers and items can be imported from a spreadsheet using the bulk import templates, so you do not have to re-enter a long item list by hand.
